The 10-Minute Meeting Structure
In our daily calendar, we have a crucial meeting labeled as the “Priority of the Day.” This 10-minute huddle gathers the entire team, and each member has one minute to answer three key questions:
- What did you achieve compared to your goals from yesterday?
- What is your priority for today?
- What obstacles do you anticipate today?
Question 1: Achievements
The first question is all about reflecting on what we accomplished the previous day. Each team member shares specific details about their tasks. For instance:
- Sent 15 emails
- Responded to 25 customer service tickets
- Completed 10 follow-ups
- Closed two deals
- Created five videos
The more specific the answer, the better. This helps in tracking progress and identifying areas of improvement.
Question 2: Today’s Priorities
Next, we focus on today’s priorities. Specificity is key here too. Each person outlines their top tasks for the day. Examples include:
- Number of calls to make
- Follow-ups to complete
- Contracts to finalize
- Videos to produce
- R&D tasks
We recommend sticking to no more than three priorities to maintain focus and avoid spreading too thin.
Question 3: Anticipated Obstacles
Lastly, we address potential obstacles. This is a moment for vulnerability and honesty. Sharing challenges helps the team support each other better. Obstacles can include:
- High volume of messages to send
- Complex emails to respond to
- Technical issues
- Need for additional training or coaching
Understanding these obstacles allows the team leader to provide the necessary support and resources, fostering a collaborative and supportive environment.
Implementation and Results
We hold this meeting daily at noon using Slack’s Huddle feature. In just 10 minutes, everyone is aligned and ready to tackle their tasks for the day. This structure has drastically improved our productivity and team cohesion.
Key Points for Success
- Equal Participation: Everyone, including the team leader, participates and answers the questions.
- Daily Routine: Make this meeting a daily ritual to maintain consistency and momentum.
- Use the Right Tools: Slack’s Huddle feature works well for us, but choose the tool that best fits your team’s needs.
Conclusion
By implementing this 10-minute meeting structure, our team’s productivity increased by 243%. This simple yet effective strategy has transformed the way we work, helping us stay focused, aligned, and supportive of each other.
